Update SPOS Till
Always required
- Log into SPOS back office and navigate to the menu / PLU section Use manager credentials
- Add, edit or remove items as required — update name, price, course, and printer routing
- For specials: set item as a temporary PLU with today's date if SPOS supports it, or use the Specials category
- Save and sync changes — confirm items appear correctly on a till terminal

Update Website
If menu changes
- Open your updated menu file (.docx or .xlsx) and use the HTML Converter tab above to generate Squarespace-ready HTML
- Log into Squarespace → navigate to the relevant menu page → Edit → find the menu Code Block
- Replace the existing code with the new HTML → Apply → Save
- Preview the page on mobile and desktop to confirm layout looks correct

Update Google Business Profile
Seasonal launches only
- Go to business.google.com and sign in → select the Kilchrenan Inn listing
- Navigate to Edit profile → Menu and update dishes / sections to reflect the new seasonal menu
- Upload a food photo from the new menu if available — label as Food & drink Min 720×720px, well-lit, landscape orientation preferred
- Post a Google update (via Add update) announcing the new menu — include 1–2 standout dishes

Post on Social Media
Seasonal launch or notable new dish
- Take or select a strong photo of the new dish or the updated menu layout Natural light, on the actual table setting works best
- Post to Instagram — include a short description, a call to action (book via link in bio), and relevant hashtags #KilchrenanInn #ArgyllFood #ScottishHospitality #LochAwe
- Cross-post to Facebook using Instagram's Share to Facebook toggle — avoids double-handling

Check FreeToBook Room Packages
Seasonal launch only
- Log into FreeToBook → review any room packages that reference dinner, lunch, or menu inclusions
- Update package descriptions to reflect the current menu season or any changed inclusions
- Check Booking.com extranet for any rate plans with dinner inclusion text that also needs updating

Brief the Team
Always required
- Brief FOH staff before the next service — cover new dishes, removed items, and any key allergen changes
- For seasonal launches: run a short tasting session if possible so staff can describe dishes confidently
- Update Connecteam or the team noticeboard with a written summary for anyone not present at the brief
